We are a non profit association based in Switzerland and we take the protection of your personal data seriously. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use the Panelista website and the Panelista platform.

How We Use Personal Data
Panelista processes personal data for the following purposes
User Accounts
Panelista allows Speakers and Event Organizers to create accounts. We use the data you provide to manage and maintain your account and support platform functionality.
Speaker Profiles
Speakers can build profiles containing professional details, SDG topics, and optional media. These profiles are stored securely and shown privately only to approved Event Organizers with active accounts. Profiles are visible only when a Speaker chooses to share them.
Event Organizer Accounts
Organizers create accounts to find speakers, request recommendations, and manage their events. Data is used to facilitate communication and matching.
Event Information
When organizers create an event entry, we process

- Event description
- Speaker needs
- SDG relevance
This information supports matching and improves the accuracy of recommendations.
AI Supported Matching
Panelista uses AI technology to support organizers by
- Suggesting speakers who fit the needs of an event
- Helping organizers gather publicly available event details from external sources
The AI processes only structured data provided by users. No decisions are binding and organizers remain fully in control of their choices. Match information is never shared between users.
Analytics and Website Insights
We use analytics tools to understand website traffic, performance, and user experience. This includes
- Google Analytics
- Microsoft Clarity
Communications
We use your email address to send important information about your account, platform updates, onboarding guidance, and event related communication.
Cookies and Tracking Technologies
Panelista uses cookies only for website traffic analysis and platform improvement. We do not use advertising cookies or cookies that track users for marketing purposes.
Under Swiss law, a cookie banner or consent mechanism is not required for cookies that are exclusively analytical and non intrusive. If this changes in the future, this Privacy Policy will be updated.
Data Storage and Location
- The Panelista website is hosted on Webflow servers primarily located in the United States
- The operational Panelista platform is fully hosted in Switzerland
- AI processing is handled exclusively in Switzerland through Apertus
- Analytics data processed by Google Analytics and Microsoft Clarity may be stored outside Switzerland according to their standard practices
We ensure that all data transfers follow applicable legal protections for international data processing.

You may request the deletion of your account and personal information. Deleted accounts are retained for a maximum of ninety days before permanent removal.

Right to Explanation for AI Supported Features
You may request clarification regarding how AI suggestions were generated and what factors influenced them.
Right to Human Review
If you disagree with an AI generated suggestion, you may request a human review.
Right to Opt Out of AI Suggestions
You may ask to disable AI supported suggestions for your account. This does not affect your ability to use the platform.

Data Retention
We retain data only for as long as needed to provide our services or as required by law.
- User accounts remain active until the user requests deletion
- Deleted accounts are retained for ninety days for recovery and security reasons
- Event data is stored for two years to support recommendations and platform improvement
- Analytics data follows Google Analytics default retention of fourteen months
- AI system logs are retained for no longer than thirty days
Security
We retain data only for as long as needed to provide our services or as required by law.
We take appropriate technical and organizational measures to protect personal data against unauthorized access, loss, misuse, or alteration. This includes encryption, secure hosting, access controls, and continuous monitoring.
